This is not just a formality. NGO Darpan is a government-run digital platform that builds trust and transparency between NGOs and the government. Managed by NITI Aayog, this portal helps NGOs get recognition and access to government grants. Without registration an NGO may face problems while applying for funds or working with government departments

Many NGOs want to register but get stuck because they do not know what documents they need. One missing paper can delay the entire process. This article walks you through all the required documents—step by step—so your NGO stays ready and compliant.

What Is NGO Darpan?

NGO Darpan is a free online platform by NITI Aayog the policy think tank of the Government of India. It acts as a bridge between voluntary organizations and the government. When an NGO registers here it gets a Unique ID which helps track records, share reports and apply for government schemes or funds.

Registration on this portal is voluntary but essential for any NGO that wants to receive government support. It also helps improve visibility and credibility

But to register you need to collect and upload the correct documents. Let’s now look at them closely

1. PAN Card of the NGO

This is the first and most essential document

  • The Permanent Account Number (PAN) must be in the name of the NGO
  • If your NGO does not have a PAN card, you must apply for one before registration
  • Upload a scanned copy of the PAN card in PDF format.

Without the PAN, your NGO will not be identified in tax records, and the portal will not allow you to proceed.

2. Registration Certificate

This document proves your NGO is legally registered.

  • This could be a Trust Deed (for a Trust), Society Registration Certificate (for a Society), or Certificate of Incorporation (for a Section 8 Company).
  • Upload a clear scanned copy in PDF format.
  • The registration must be done under Indian laws such as:

3. Memorandum of Association (MOA) or Trust Deed

This document shows your NGO’s aims, rules, and structure.

  • For societies and section 8 companies, you need the Memorandum of Association (MOA).
  • For trusts, the Trust Deed works.
  • Upload the entire document, not just the first page.

This helps the authorities verify that your organization has lawful and public-serving objectives.

4. Details of Governing Body Members

The portal requires the details of three key office bearers:

  • President or Chairperson
  • Secretary or CEO
  • Treasurer or Financial Head

You will need to provide:

  • Full names
  • Designations
  • Contact numbers
  • Email addresses
  • Aadhaar numbers (mandatory)

These details help the government maintain accountability. Ensure the information is accurate and up to date.

5. Aadhaar Card of Office Bearers

Each of the three key members must upload a self-attested Aadhaar card copy.

  • This is used to validate identity and contact details.
  • The Aadhaar card must be scanned and legible.
  • Upload it in PDF format along with other documents.

The portal does not accept other ID proofs like PAN or passport. Aadhaar is the only acceptable form of ID here.

6. Contact Details and Address Proof

You must share the official contact details of your NGO. This includes:

  • Registered office address
  • Email address
  • Mobile number
  • Landline (if available)

You also need to upload an address proof of the NGO office, such as:

  • Electricity bill
  • Telephone bill
  • Rent agreement (if applicable)
  • Ownership proof (for owned offices)

This is important for verification and future correspondence.

7. Annual Reports or Activity Reports (if applicable)

This is not mandatory for new NGOs, but older NGOs must upload activity details.

  • Submit a brief report showing your work in the last 1 to 3 years.
  • Include pictures, data, and outcomes.
  • Keep it under 2 MB in PDF format.

This helps show the scope and impact of your NGO’s work.

8. Digital Signature or eSign (Optional but Useful)

Currently, the portal allows submission without a digital signature. But in future updates, a Digital Signature Certificate (DSC) may be required.

Getting one in advance is a smart move. It will also help in other government filings.
