Core Documents Required for Trade License in 2025

1. Identity Proof of the Applicant

You must prove who is applying for the license. If the business is proprietary, the owner must submit personal identity proof.

Accepted documents:

  • Aadhaar Card
  • PAN Card
  • Voter ID
  • Passport
  • Driving License

The document should show the name, DOB, and applicant’s photo. If the business is a firm or company, then the authorized signatory’s identity must be submitted.

2. Address Proof of the Applicant

Along with identity, you must show where the applicant lives. The address must match official records

Common documents include:

  • Electricity Bill
  • Water Bill
  • Telephone Bill
  • Ration Card
  • Rent Agreement (with utility bill of the landlord)

3. Proof of Business Address

This document proves where the business operates. Authorities check if the business is in a commercial zone.

You can submit:

  • Property Tax Receipt (if owned)
  • Rent Agreement (if rented)
  • Lease Deed
  • Sale Deed
  • NOC from property owner

4. PAN Card of the Business or Applicant

The PAN is a must for tax registration and is linked with your trade license.

  • For proprietors: personal PAN
  • For firms: firm’s PAN card
  • For companies: company PAN card

5. Certificate of Incorporation or Partnership Deed

It is required when the business is not a sole proprietorship.

  • For companies: Certificate of Incorporation (from MCA)
  • For LLPs: LLP Agreement and Incorporation Certificate
  • For partnerships: Registered Partnership Deed

6. Memorandum and Articles of Association (MOA & AOA)

This applies only to companies registered under the Companies Act.

The MOA includes the core business activities. While the AOA lists internal rules. These help the municipality understand what the business does and whether it needs any special conditions.

7. GST Registration Certificate

In 2025, most businesses that apply for a trade license are also registered under GST. It’s not mandatory in all cases, but many local bodies now ask for the GST registration certificate. It confirms the nature of the business.

8. Layout Plan or Site Plan

Some municipal authorities ask for a basic layout or site map of the shop, office, or unit.

9. NOC from Fire Department

This applies to businesses that fall under fire-sensitive categories. If your unit handles flammable goods, chemicals, gas cylinders, or has a kitchen, you must submit a No Objection Certificate from the Fire Department.

Without this document, the trade license application will be rejected.

10. NOC from Neighbours or Welfare Society

In some cities, applicants must get consent from nearby residents or the local welfare society. This ensures that your business does not disturb others in the area.

Usually, this is needed when:

  • Running a business in a residential area
  • Operating loud machinery
  • Running a food outlet or warehouse

11. Professional Tax Registration (in some states)

In states like Maharashtra, Karnataka, and Tamil Nadu, businesses must register for Professional Tax before applying for a trade license.

This tax applies to employers and salaried employees. You have to submit a registration certificate while submitting your application.

12. Passport-size Photograph of the Applicant

Every application must include recent passport-sized photographs of the applicant or authorized signatory. Digital uploads must be clear and show the full face. Blurred or mismatched photos often lead to rejection.
